  • CHIEF FINANCIAL OFFICER

    FULL TIME EXEMPT POSITION; DOWN EAST FAMILY YMCA & OLD TOWN-ORONO YMCA

    The Chief Financial Officer reports and is accountable to the Chief Executive Officer (CEO) in leading our strategic initiatives. The position oversees and manages financial matters, investments and information systems. Provides strategic direction and leadership for YMCA business operations and initiatives. Recommends related policies and ensures their implementation. This position supports the Down East Family YMCA (operating six facilities: Wiggins Center, Moore Community Center, Beechland Rd. Learning Center, Lawrence Family Fitness Center, Bucksport YMCA, and Camp Discovery), and the Old Town-Orono YMCA (operating 2 facilities: Old Town-Orono YMCA and Piscataquis Regional YMCA).

    POSITION SUMMARY:

    The CFO will oversee and manage all financial matters, investments and information systems including giving direction and leadership for YMCA business operations and strategic initiatives.

    As a member of the Executive Staff, the CFO will work closely with the Board of Directors, YMCA Foundation, and serve as the staff liaison to the Finance, Audit, and Investment Committees.

    ESSENTIAL FUNCTIONS:

    • Key member of Executive Staff

    • Works directly with assigned committee(s) of the Board to build volunteer relationships, develop policies, monitor their implementation and meet the related needs of the organization

    • Leads the annual budget process, educates, trains and evaluates effectiveness of current process and makes recommendations and changes as needed. Additionally, reviews the budgets with the Finance Committee and prepares budgets for Board approval.

    • Monitors monthly financial operations analysis and guidance to management staff. Prepares specific recommendation, analysis and projections for CEO's.

    • Manages/supervises the administrative office finance staff, oversees the operations of the Accounting/Finance department to include oversight of payroll function and processing procedures to ensure compliance with all applicable state and federal laws, record keeping requirements.

    • The coordination of the assessment, development, documentation, implementation and administration of the financial policies and procedures. Responsible for the design and implementation of programs and controls to prevent and detect fraud and incorporate into accounting manuals. Ensure compliance with current accounting laws and regulations according to FASB and GAAP.

    • Strategic and tactical planning for the Association's finances generated from operations; investment portfolios; developing capital financing programs; analysis and implementation of the strategies that grow the asset base of the Association in terms of all revenue sources, fund-investment, facilities, Information Technology and properties.

    • Manages the investment of operating cash flow, reserves and capital funds within the risk tolerance expressed by the Finance Committee and Board including, developing a reliable cash flow projection process and reporting mechanism which includes a minimum cash threshold to meet operating needs

    Coordinates annual external Audit under the discretion of the Finance/Audit Committee.

    Assists external auditors, presents documents and answers questions relative to the operating and financial integrity of the Association. Directly responsible for the accuracy of the audit and efficiency of all systems throughout the year.

    • Oversees preparation of reports to, YMCA of the USA and governmental agencies as needed. Oversees preparation of tax returns and Form 990. Prepares or supervises the preparation of outside reports and filings.

    • Oversees the maintenance of all government contracts and grants. Follow YUSA best practices for financial management and operations. Collects and maintains/supports data on government contracts and grants.

    • Performs internal audits of various branch operations and each branch as a whole and reports results to the CEO.

    • Develop reliable operating pro-formas, financial modeling and analysis to identify opportunities and risks associated with projects, ventures and programs.

    • In consultation with the Facilities/Properties Director, develop strategic plans for all purchasing in the association. Negotiate vendor bids, agreements, bids, contracts and services to ensure optimum service and pricing for the Y.

    • Administer, enforce, and update the YMCA's document retention policy.

    • Responsible for educating the Board of Directors so that they have a complete understanding of the association's financial statements and financial standing.

    • Acquires financing for various expansion and capital need projects and manages debt load according to association goals and objectives. Responsible for all lease arrangements for the Association.

    • Conducts bi-annual cost study which provides valuable planning information for each department of management area.

    • Maintains good working relationships with auditors, bankers, investment counselors, attorneys and other professional advisors to the Association.

    • Serves as the financial liaison with local, State and Federal agencies. Prepares and submits all financial reports of the Association within determined deadlines.

    • Assist the CEO with special projects and other tasks as requested.

    QUALIFICATIONS:

    • Bachelor's degree in business, finance, or equivalent; MBA, CPA or CMA designation highly preferred. Minimum of a Bachelor's degree in business, finance or accounting.

    • Experience as an accomplished professional with ten or more years of increasing responsibility in financial management culminating in CFO or Controller level responsibilities, preferably in the nonprofit sector.

    • Must be meticulous and highly detail oriented with a high level of personal integrity and uncompromising ethical standards; experienced in working with confidential material.

    • Must display excellent understanding of accounting principles, have excellent organizational skills and follow through. Must be able to work independently; multitask; and possess excellent communication (written/verbal) and time management.

    • Knowledge and understanding of general business matters required including budget development, cash management, business taxes, and debt financing instruments.

    • Knowledge of computer technology including experience with system selection, new system implementation and project management. Committed to up to date software and best practices.

    • Experience with investment management and asset allocation preferred.

    • Understand the importance of the financial stability of the association along with being a visionary in planning for short and long-term growth.

    • Human relations skills with the ability to effectively relate to staff, volunteers and community members.

    • Adeptness at making decisions and assessing complicated issues in a collaborative and inclusive environment

  • Position Summary:

    Instruct individuals in a one-on-one setting, provide excellent service to members in a safe, enjoyable, and positive environment that promotes member wellness and engagement in accordance with YMCA policies and procedures.

    Essential Functions:

    1. Assess client needs, review medical history and perform fitness testing.

    2. Instruct clients in correct exercise technique.

    3. Assist clients in fitness goal setting and attainment of those goals.

    Provide safe transportation to and from program sites. May also provide support in other areas as assigned.

    Essential Functions:

    1. Drives bus safely according to YMCA policies and procedures and state laws.

    2. Completes thorough before-and-after trip checks each day and record all information. Records gas level, mileage, and maintenance on designated forms. Cleans out bus each day.

    3. Promotes safety at all times by keeping first aid supplies fully stocked.

    4. Ensures that bus rules are announced and followed.

    5. Communicates regularly with other staff members and supervisor.

    2. Possess appropriate class license.

    3. Knowledge of the rules/guidelines related to commercial passenger vehicles (bus).

    1. Ability to safely drive a bus for long periods of time.

  • Position Summary:

    Maintain safe swimming conditions in the pool, deck, and surrounding areas. Create a safe and positive atmosphere that promotes member safety and engagement in accordance with YMCA policies and procedures.

    Essential Functions:

    1. Maintain constant surveillance of the pool area.

    2. Know/review all emergency procedures and respond to emergency situations immediately in accordance with YMCA policies and procedures. Complete related reports as required.

    3. Maintain effective relationships with the members, participants and other staff.

    4. Know, understand, and consistently apply safety rules, policies and guidelines for the pool and aquatic area.

    5. Maintain accurate records as required by the YMCA and/or the state Health Department code.

    6. Perform equipment checks and ensure appropriate equipment is available as needed.

    7. Check the pool for hazardous conditions when arriving.

    8. Perform chemical testing at appropriate times of the day, as required, and take appropriate action.

    9. Participate in active cleaning duties and ensure the cleanliness of the pool area and locker rooms at all times.

    10. Attend all staff meetings and training as required.

    2. Certifications: CPR for the Professional Rescuer, AED, Basic First Aid certification.

    3. Current YMCA Lifeguarding or Red Cross Lifeguarding and obtain YMCA Lifeguarding Certification within 60 days of hire.

    4. Ability to maintain certification-level of physical and mental readiness.

    5. Must demonstrate lifeguard skills in accordance with YMCA standards.

    Physical Demands:

    1. Ability to pass lifeguard water test.

    2. Must be able to remain alert.

    3. Must be able to sit or stand for extended periods.

    4. Adequate ability to hear noises and distinguish distress signals.

    5. Ability to continuously scan all areas of the pool with clear vision.

    6. Ability to perform strenuous physical tasks necessary for a water rescue.

    7. Ability to communicate verbally, including projecting voice across distance in normal and loud situations.

    Assist with supervision of a group of children in the After School Activity Program. Provide a quality experience to children and parents focused on YMCA core values: honesty, respect, responsibility, and caring.

  • Position Summary:

    Provide direct leadership, instruction and motivation for students in swimming classes.

    Essential Functions:

    1. Instructs swimming lessons as assigned in accordance with YMCA guidelines, having prepared lesson plans accordingly.

    2. Develop positive relationships with members and participants and provide motivational support and guidance.

    3. Encourage member and parent involvement and identify potential volunteers.

    4. Convey information on aquatics programs and schedules and as appropriate; refers members and participants to other programs.

    5. Maintain records as required (i.e. attendance, progress reports, etc.).

    6. Attend staff meetings and trainings as scheduled.

    7. Follow all YMCA policies, rules, regulations and procedures, including emergency and safety procedures. Complete incident and accident reports as necessary.

    8. Organize and puts away needed class equipment. Reports damaged equipment.

    9. Train and supervise class aides as assigned.

  • Position Summary:

    Deliver excellent service to all members, guests, and program participants. Respond to member and guest needs, promote memberships and programs, and maintain cleanliness and organization of the lobby area.

    Essential Functions:

    1. Provide excellent service to members, guests, and program participants in the branch and on the phone, contributing to member retention.

    2. Interview and/or tour prospective members; sell memberships.

    3. Build relationships with members; help members connect with one another and to the YMCA.

    4. Handle and resolve membership concerns and inform supervisor of unusual situations or unresolved issues.

    5. Apply all YMCA policies dealing with member services.

    6. Attend all staff meetings and training as required.
